Information used by NextGenEM
Depending on the capabilities you use, NextGenEM may retain account identity and organization information, role and permission assignments, training and assessment records, operational event activity, ICS-214 entries, secure-submission records, shelter operations data, game scores and achievements, notification preferences, traffic and campaign information, server and access logs, security findings, and application audit records.
Why the information is used
Information is used to provide and improve services, understand public and staff use, control access, maintain operational accountability, support training and communications, diagnose problems, measure reliability, protect accounts, and produce a complete operational picture of the platform.
Public and operational information
NextGenEM may collect and analyze public, governmental, operational, and voluntarily supplied information when it supports a legitimate service, analytical, accountability, or public-safety purpose. Useful data is not automatically discarded merely because it identifies a public source, organization, location, request, or operational action.
Sensitive information
Personally identifiable information, protected health information, credentials, security secrets, and legally or operationally restricted case material require controlled handling. Access controls, limited display, encryption, audit history, and retention requirements may apply according to the sensitivity and purpose of the record.
Operational and audit records
Some activity is intentionally retained as an audit record. Administrators may be unable to remove or alter records necessary for operational accountability, security, legal retention, public-records obligations, or the integrity of an event history.
Email and notifications
Users can opt out of eligible automated email in their profile. Security, access, transactional, or operationally required communications may still be sent when necessary to provide or protect the service.
Access and sharing
Access is managed through roles, permissions, event assignments, and administrative controls. Information may be available to authorized organizations or personnel when required for the workflow in which it was submitted, and public information may be used for approved reporting and analysis. NextGenEM is not designed to sell personal information.
Security
NextGenEM uses account controls, password assurance, audit history, application monitoring, security scanning, and administrative review to reduce risk. No system can guarantee absolute security; suspected compromise should be reported to a NextGenEM administrator promptly.
